IT Procurement Specialist
We are seeking a highly organised and detail-oriented Procurement Specialist to manage the end-to-end procurement and renewal lifecycle of software licenses. This role will be central to standardising processes, ensuring compliance with internal and external requirements, and optimising commercial outcomes across the organisation.
The ideal candidate has strong experience working in large, complex organisations, understands procurement and commercial contracting, and is confident navigating multi-stakeholder environments.
Key Responsibilities
Software Licensing & Renewal Management
- Lead the full lifecycle of software license procurement, renewal, and amendments.
- Maintain an accurate inventory of license expiry dates, usage, and renewal timelines.
- Coordinate with vendors and internal stakeholders to secure timely renewals and avoid service interruptions.
End-to-End Procurement Coordination
- Manage due diligence requirements for Group approval, including financial, legal, and information security reviews.
- Prepare and submit procurement documentation, business cases, and approval packs.
- Liaise with Finance, Legal and InfoSec to ensure all compliance and process steps are completed.
Vendor & Contract Management
- Review commercial contract terms, identify key obligations, and ensure alignment with organisational requirements.
- Assist in vendor negotiations to secure competitive pricing and favourable terms.
- Consolidate software purchases across teams to optimise spend and leverage economies of scale.
Governance, Documentation & Process Improvement
- Develop and maintain standard operating procedures (SOPs) for vendor and license management.
- Ensure consistent documentation, audit readiness, and traceability of decisions.
- Identify process gaps and drive continuous improvement initiatives.
Budget & Spend Visibility
- Maintain central visibility of vendor spend across the organisation.
- Track, analyse, and report on software procurement expenditure.
- Highlight opportunities to rationalise contracts and reduce duplication.
Stakeholder Communication
- Act as the single point of contact for software licensing queries.
- Communicate clearly and confidently with stakeholders at all levels.
- Provide regular updates on renewal status, risks, and timelines.
Qualifications & Experience
Required
- Minimum 3–5 years’ experience in vendor management, procurement, software licensing, or similar role.
- Strong background working in large enterprises with complex procurement or governance processes.
- Accounting or Finance background (e.g., degree in Accounting/Finance or equivalent experience), with a solid understanding of budgeting, cost tracking, and financial governance.
- Solid understanding of commercial contracts, licensing models, and vendor negotiation principles.
- Demonstrated ability to manage multiple concurrent requests with precision and attention to detail.
- Excellent organisational skills with the ability to structure, document and prioritise work effectively.
- Strong written and verbal communication skills with the ability to influence and engage stakeholders.
Preferred
- Experience working with SaaS, subscription models, and enterprise software vendors.
- Knowledge of procurement systems (e.g., SAP Ariba, Coupa, Jira Service Management, or similar).
- Familiarity with Information Security and Legal review processes.
