Position Summary:
The Project Officer provides essential support to IT project teams and departmental operations. This hybrid role combines project coordination with administrative responsibilities to ensure smooth execution of technology initiatives and efficient office management. The ideal candidate is detail-oriented, tech-savvy, and capable of managing multiple priorities in a fast-paced IT environment.
Key Responsibilities:
- Project Support:
- Assist IT project managers in planning, scheduling, and tracking software development, infrastructure upgrades, and system implementations.
- Maintain project documentation including technical specifications, sprint plans, meeting minutes, and progress reports.
- Coordinate cross-functional meetings with developers, engineers, vendors, and stakeholders.
- Monitor project timelines and escalate delays or risks to relevant team members.
- Support procurement and budget tracking for IT tools, licenses, and services.
- Help manage project management platforms (e.g., Jira, Confluence, Trello, Asana).
- Administrative Support:
- Manage calendars, meeting logistics, and travel arrangements for IT leadership and project teams.
- Prepare and format technical reports, presentations, and internal communications.
- Maintain digital filing systems for contracts, SLAs, and compliance documentation.
- Handle general inquiries, correspondence, and vendor coordination.
- Assist with onboarding of new IT staff, including account setup and equipment provisioning.
- Support inventory tracking of IT assets and software licenses.
Qualifications:
- Diploma or bachelor’s degree in Information Technology, Business Administration, or related field.
- 2+ years of experience in administrative or project support roles, preferably in an IT or tech environment.
- Proficiency in Microsoft Office Suite and project management tools (e.g., Jira, MS Project, Trello).
- Familiarity with IT terminology, workflows, and basic technical concepts.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication skills and ability to work with technical and non-technical stakeholders.
- Communicate change schedules, impacts, and outcomes to relevant parties.
- Ensure accurate and complete documentation of change records and post-implementation reviews.
